Health and Safety Policy

1. Purpose

The purpose of this policy is to articulate duMondeโ€™s commitment to the health, safety, and wellbeing of its people, partners, and clients. It aims to ensure all work-related activitiesโ€”whether in-office, remote, or on client sitesโ€”are conducted in a safe and compliant manner.


2. Scope

This policy applies to all duMonde employees, contractors, consultants, visitors, and any third parties engaged in activities on behalf of duMonde, including:

  • Internal office work

  • On-site client engagements

  • Travel for work-related purposes

  • In-person and virtual workshops or training sessions

  • Remote and hybrid work arrangements


3. Policy Statement

duMonde is committed to providing and maintaining a safe and healthy working environment in compliance with the Work Health and Safety Act 2011 (Cth), relevant state legislation, and applicable codes of practice. We actively promote a safety-first culture and encourage open communication, continuous improvement, and shared responsibility for workplace safety.


4. Roles and Responsibilities

4.1 Senior Leadership

  • Ensure adequate resources and systems are in place to manage health and safety risks.

  • Promote a proactive safety culture and support employee wellbeing.

  • Review safety performance and ensure ongoing compliance.

4.2 Managers, Project Leads & Consultants

  • Identify and assess risks for all operational activities, including travel and engagements.

  • Ensure Job Safety Analyses (JSAs) are completed and documented.

  • Provide appropriate safety inductions, supervision, and escalation processes.

4.3 Employees and Contractors

  • Comply with this policy and all safety procedures.

  • Participate in training and inductions.

  • Report hazards, near-misses, and incidents promptly.

  • Use equipment and resources safely and responsibly.

4.4 Visitors and Clients

  • Follow site-specific safety instructions.

  • Cooperate with duMonde safety protocols during joint activities.


5. Risk Management

duMonde will maintain a structured risk management process that includes:

  • Workplace Inspections โ€“ Regular assessments of the office, remote workstations, and event venues.

  • Hazard Identification โ€“ Including ergonomic risks, psychosocial hazards, and environmental exposures.

  • Job Safety Analyses โ€“ Applied for new projects, travel, and on-site engagements.

  • Control Implementation โ€“ Prioritising elimination, substitution, engineering controls, administrative controls, and PPE.


6. Incident Reporting and Investigation

All incidents must be reported using duMondeโ€™s Health & Safety Incident Report Form within 24 hours.
Incident types include:

  • Injury or illness

  • Near-misses

  • Unsafe conditions or practices

  • Travel-related safety concerns

An internal review will be conducted to identify root causes and recommend corrective actions. Lessons learned will be shared with affected teams.


7. Training and Competency

duMonde will provide:

  • Mandatory WHS induction for all new staff and contractors

  • Role-specific training (e.g., safe driving, equipment use, remote working)

  • Annual refresher training

  • Access to relevant safety resources and guidance documents


8. Wellbeing and Mental Health

duMonde promotes holistic wellbeing by:

  • Providing flexible work arrangements and ergonomic assessments

  • Encouraging work-life balance and regular check-ins

  • Offering access to mental health support and external EAP resources

  • Allowing staff to confidentially raise concerns about fatigue, stress, or burnout


9. Work from Home & Travel Safety

Work from Home:

  • Must complete a Home Office Safety Checklist

  • Workspaces should be ergonomically safe and hazard-free

  • Regular breaks and digital fatigue management encouraged

Travel:

  • Travel must be approved and risk assessed

  • Employees must follow the Travel Safety Guidelines

  • A check-in system will be used for high-risk destinations or late events


10. Contractor and Client Site Management

  • Contractors must demonstrate compliance with relevant WHS standards

  • Site-specific inductions must be completed prior to commencement

  • Any incidents at a client site must be reported to both the client and duMonde


11. Emergency Preparedness

  • Office sites will maintain current evacuation plans, fire wardens, and first aid kits

  • All in-person events and training venues must have emergency procedures known to the facilitator

  • First Aid Officers will be designated for all major events


12. Policy Review and Continuous Improvement

This policy will be:

 

  • Reviewed annually or after any major incident or legislation change

  • Informed by incident data, WHS inspections, and employee feedback

  • Supported by regular updates to safety procedures, checklists, and documentation
